How To - Deposits


Taking Deposits

  1. Press the Deposit Take button (usually found in the pay panel)..

  2. Enter the customer name for the deposit booking and press the OK button.

  3. Select the required booking type.



  4. Enter the date of the booking (if applicable) and press the OK button.

  5. Enter the time of the booking (if applicable) and press the OK button.

  6. Enter the number of covers (if applicable) and press the OK button.

  7. The booking confirmation details screen is then displayed

  8. Press the Yes button to confirm the details.



  9. In addition to the above you may also be required to fill out a telephone number and / or external booking reference.

  10. Enter the value of the deposit to be taken in pounds and pence and press the Enter button to confirm the amount.



  11. The balance will be displayed on the order display and will require payment.

  12. Payment can be taken against any payment method on the PoS, e.g. cash or credit card.



Adding to Existing Deposits

Additional deposit payments can be added to an existing booking deposit already in the system.

  1. Press the Add Deposit to Booking button (usually found in the pay panel).

  2. The select booking screen appears and will display all bookings for the current week or any overdue bookings in alphabetical order.
    If the booking is not displayed press the more button to continue the display or choose the date button and enter the required booking date.
    The keyboard can be used to filter the displayed bookings

  3. Once located choose the required booking.



  4. The selected booking confirmation details will be displayed.
  5. Press the Yes button to confirm that this is the correct booking.
  6. Enter the extra value deposit to be added to the booking and press the Enter button to confirm the additional amount.


  7. The balance will be displayed on the order display and will require payment. Payment can be taken against any payment method on the PoS, e.g. cash or credit card.

Redeeming Deposits

  1. Press the Deposit Redeem button (usually found in the pay panel).
  2. The select booking screen appears and will display all bookings due for the current day
  3. Select a deposit to redeem by pressing on the Deposit Name button.
  4. If the booking is not due on the current day press the Date button and enter in the required date. The keyboard can be used to search for a booking name.
  5. The Redemption Options screen will be displayed with four available options:
    • Cancel - cancel the redemption process.

    • Total Redemption – redeems the entire value on the booking.

    • Partial Redemption – choose to only redeem part of the booking.

    • Forfeit – customer loses the deposit.



  6. When performing a partial redemption, you will be prompted with a screen asking how much to redeem from the booking.

  7. Once the deposit has been redeemed there will be a negative balance showing on the order display for sales to be redeemed against.

  8. If the deposit is to be refunded, then it should be then paid back to the relevant payment method.



Forfeiting Deposits

Before attempting to forfeit any deposit please ensure you review all details on Aztec to confirm whether the deposit has an expired due date.

To complete a deposit forfeit follow the instructions below:

  1. From the Aztec main menu select Reports

  2. From Standard Reports select Overdue Bookings Report

  3. Select View Report



  4. Once you have confirmed that the deposits are to be forfeited then follow the instructions below:


  5. Log on to terminal.

  6. From the main screen select Payments.

  7. Select Redeem Deposit.

  8. Free type the Name (from the previous Aztec report) of the booking and select the Search button.

  9. Ensure that the deposit selected is the correct one using the Booking Code (again, from the Aztec report).

  10. Select the Forfeit button and enter the £ value in to the text box.

  11. Close the order by pressing the Cash button.

  12. This amount will now go to your bottom line on your P&L, which will move it automatically to the Statement of Trade under Forfeited Deposits (as below).
